The 2018 REDCapCon (annual REDCap conference) will be held in Chicago, Illinois on August 19-22, 2018, and will be hosted by the The University of Chicago. It is the 10th conference organized by the REDCap Consortium. This three and a half day event will offer presentations, breakout sessions, and more by REDCap Consortium members. The conference includes a dinner cruise on Sunday evening and three full days of programming on Monday, Tuesday and Wednesday at the Palmer House Hilton.

Key Dates

March 14: registration opens

April: call for presenters/volunteers issued

July 2: last day to pay by check

July 2: last day to cancel and receive a refund

July 28: last day to reserve a sleeping room at the reduced rate (or when the hotel block sells out – whichever occurs first)

August 6: last day to register for the conference and register for the dinner cruise

Thursday, August 16: last day to register for the conference

August: 3 days before your arrival date is the deadline for cancelling your sleeping room reservation

August 19: New Administrator Workshop in the afternoon; kickoff dinner cruise

August 20: conference programming begins

August 22: conference programming concludes

Target Audience

The content of the conference is designed for REDCap administrative and technical team members who maintain and support REDCap at their own institutions, and who provide global support of REDCap through consortium efforts. The conference is NOT designed for end-users of the software.

Conference Registration

The registration fee this year is $644.15 which includes $610 for registration and the $34.15 processing fee charged by the registration website.  The registration fee covers:  kickoff night dinner cruise, breakfast, lunch and snacks for the event duration. 

Monday, July 2 is the last day to register for the conference with payment in the form of a check. After July 2, registrants will only be able to pay by credit card.

Cancellation Policy: Registrants have until 12 pm CST on Monday, July 2 to cancel their registration and receive a refund of the registration fee less a 10% administration refund fee. After that time, refunds are not available. Even if you are not eligible for a refund, we greatly appreciate you letting us know that you can’t attend. That helps us to adjust catering and material orders, and it also allows us to add someone from the wait list. To request a cancellation, please complete this survey.

Check Payment Policy

Registrants have until 12 pm CST on Monday, July 2 to register with payment in the form of a check. After July 2, registrants will only be able to pay by credit card. If you choose to pay by check, payment must be received within 6 weeks or by July 2, whichever comes first. If we do not receive your payment by that time, your registration will be nullified.

To pay by check (or any other method), register first online and you will then receive further instructions.

Programming Highlights

Pre-conference activities

  • New Administrator Workshop (NAW)
    • Recommended only for REDCap administrators who are new to their role
    • Check in for NAW begins at 12 pm on Sunday, August 19
    • Lunch not provided
    • No additional fee
    • No capacity limit this year
  • Check-in for regular conference (non-NAW attendees) available 2 pm – 4 pm on Sunday, August 19
  • Common space available for non-NAW attendees for networking/socializing/ad hoc meetings in the Mezzanine from 2:00 – 4:00 PM 
    • Self-organized
    • Refreshments not provided
  • Kickoff Dinner Cruise on Sunday evening August 19th!  Free transportation available via shuttle from the hotel to the dock.
    • registration for the dinner cruise is closed as of August 6

Conference activities

  • Regular conference programming commences the morning of Monday, August 20. Sessions will include:

Hotel Information

Conference and accommodations will be at the Palmer House Hilton, located at 17 East Monroe Street Chicago Illinois 60603 USA. Palmer House, a Hilton Hotel is a member of Historic Hotels of America®, the official program of the National Trust for Historic Preservation for recognizing and celebrating the finest historic hotels across America. It is located downtown, near the Art Institute of Chicago and Millennium Park.

Palmer House Hilton is offering a discounted sleeping room rate to REDCapCon attendees for as low as $159/night for single and double rooms.  Room quantities are limited, so book early.

Eligible Dates:You can check-in as early as Wednesday, August 15 and check-out as late as Sunday, August 26 and receive discounted room rates.  Check the passkey or call the hotel for the latest information.  Saturday night before the conference in particular has a very limited number of rooms available at the discounted price due to additional conferences and events in the area. You should still receive a discount for Saturday, however, it is likely to be a higher rate. Also, there are no “2 double beds” rooms after the event (August 23-25), only “1 king bed” and “1 double bed” rooms.

Reservation cut-off to receive the discounted rate: Saturday, July 28th at 11:59 pm Central or when the room block sells out, whichever comes first. UPDATE: the discounted sleeping room rate is no longer available

Chicago-O’Hare International Airport
Distance from hotel: 18 mi.
Drive time: 35-60 min.

Driving directions: Follow signs for I-190 out of airport. Take I-190 to I-90/94 east (Kennedy Expressway). Take I-90/94 to Monroe Street exit, turn left on Monroe Street (East) , Approximately 8 blocks to The Palmer House Hilton. Hotel is on the right.

Public transportation directions: Take the Blue Line train to Monroe/Dearborn stop. Take Monroe east to the hotel. The Palmer House is on the south side of the street.

Chicago Midway Airport
Distance from hotel: 12 mi.
Drive time: 30-45 min.

Driving Directions: North on Cicero Avenue. Take Stevenson Expressway (I-55) Northeast to Kennedy Expressway (I-90) West. Exit Monroe Street, turn right (East), 8 blocks to The Palmer House Hilton. Hotel is on the right.

Public transportation directions: Take the Orange Line from Midway to downtown. Get off at the Adams/Wabash stop. The Palmer House is located on the west side of Wabash Avenue.
